Invitation to participate

All nonprofit arts and cultural organizations in Greater Louisville are invited to participate in the 2020 Cultural Pass, a partnership of Louisville Metro Government, Fund for the Arts, Arts & Culture Alliance (ACA), and the Louisville Free Public Library.

Please note that all Cultural Pass venues must be a member of ACA. Please reach out to Robin Miller if you are unsure of your membership status with the ACA or if you would like to join. Annual membership ranges from $50 – $500 based on the size of your overall budget.

What is the Cultural Pass?

The Cultural Pass provides free access to many of Greater Louisville’s arts and cultural institutions for the children of Greater Louisville.  The Pass is valid for one-time general admission at each of the participating venues and is valid from June 1 to August 8, 2020.  Created from Vision Louisville, the Cultural Pass is an innovative initiative to promote art and culture and improve summer learning in our community. Nearly 240,000 passes have been issued since the program’s inception in 2014.

In 2019, Cultural Pass holders made 40,099 visits to 59 venues. Additionally, 79% of pass holders visited at least one venue for the time because of the Cultural Pass.

The Vision of the Cultural Pass:

A Cultural Pass for children of all ages that supports and encourages life-long learning by providing access to the region’s art and cultural institutions.

Key Objectives:

  1. Impact summer learning loss by creating a learning experience through programming, activities and education.
  2. Establish a life-long relationship between Greater Louisville’s children and art and cultural institutions.
  3. Work to address barriers that may prohibit children from accessing the city’s art and cultural venues.

The 2020 Cultural Pass is daily managed by the Fund for the Arts, in conjunction with ACA, and overseen by a Coordinating Committee, comprised of representatives from the Louisville Mayor’s Office, ACA, Louisville Free Public Library, Jefferson County Public Schools, and the Fund for the Arts. The Education/Collaboration Committee of ACA serves as an advisory committee providing feedback, ideas, and suggestions.

The 2020 Cultural Pass is available starting June 1, 2020 and may be picked up at any Louisville Free Public Library branch and participating regional libraries. Pass holders register for their pass at the same time as they register for participating libraries’ Summer Reading Programs.  Pass holders can register and track the progress of their Cultural Pass participation online via Beanstack, the libraries’ summer reading platform.

Cultural Pass Launch Day

The official Cultural Pass Launch Day will be on May 30, 2020 at the Main Branch of the Louisville Free Public Library and all participating Cultural Pass venues are invited to participate with an interactive display table to entice patrons to learn about their venue. This event is held in conjunction with the Library’s Summer Reading Kickoff Day. It is typically held from around 9am-1pm, and venues will be provided with a table. Venues are also invited to perform an act or demonstration on the main stage during that day, which is another opportunity for your venue to interact with Cultural Pass participants.

Prizes for Summer Participation

Pass holders are encouraged to visit as many venues as they are able.  Pass holders who visit the most venues are entered in a drawing for tickets, season passes, and other prizes provided by Cultural Pass venues.

Official Rules of the 2020 Cultural Pass

Pass Valid:  June 1 – August 8, 2020

  • Participants must have or be eligible for a Louisville Free Public Library card or a library card from one of the participating regional libraries.
  • Each youth (ages 0-21) is eligible for one pass.
  • The Cultural Pass is valid for one-time general admission at each of the participating institutions.  No special exhibits or concessions are included with the Cultural Pass.
  • Only one adult will receive free entry per visit when they accompany a youth under age 17.
  • Only one adult will receive free entry per family regardless of the number of passes.
  • All rules and regulations for specific sites must be followed to gain entry.  Please note special restrictions for some participating organizations are printed on the Cultural Pass.
  • Organizations reserve the right to deny entry if rules and restrictions of the Cultural Pass are not followed.
  • The Cultural Pass is intended for family use.  As such, it is not valid for group visits.

The Cultural Pass is not valid with other venue offers.

What we ask of Participating Venues:

  • If you are a paid venue, provide at least one day per week that you can offer free admission to Cultural Pass holders.
  • If you are a free venue, provide the days/times that you want to encourage Cultural Pass holders to visit your venue.
  • If you are offering a special event, provide the days times for Cultural Pass holders.
  • Log all Cultural Pass visits to your site and turn them in every 3 weeks to the project manager. These dates will be distributed soon.
  • Promote the Cultural Pass and Summer Reading Program at least once a week through your communications, i.e. in your venue, on your website and through social media.
  • Consider contributing a season pass, tickets or other prize for a drawing from among the pass holders that visit the most venues.
  • Complete all information on the online application with relevant information – days, times, restrictions plus logo by January 31.
  • Designate one staff member to serve as the primary contact for the Cultural Pass.

What is Provided to Participating Venues & Benefits of Participation:

  • Financial reimbursement on a sliding scale proportionate to total admissions at your venue.  Each youth visit will be reimbursed at a target of $6.50. Please note that visits made by adults are not For venues with an average ticket price above $6.50, then your reimbursement target will be your average ticket price.
  • In June 2020, a first payment will be provided based upon the number of Cultural Pass visits to your venue in summer 2019:
    • Up to 500 visits in 2019; or new venues, June payment = $500
    • 500 to 1,000 visits in 2019, June payment = $2,500
    • 1,000+ visits in 2019, June payment = $5,000
  • The second payment will be made in September based upon your venue’s total visits, based on the applicable ticket price for your venue, less the June payment, and up to a maximum of $25,000 for any organization.
  • Please note, the target ticket price is budgeted based upon the 2019 total number of visits.  If the total number of 2020 visits should increase then the target ticket price per venue would need to be decreased, as total payments cannot exceed total funding available.
  • Promotion of the Cultural Pass by Louisville Metro and Fund for the Arts.
  • Quarterly opportunity to promote your family-friendly programming in an email to all Cultural Pass registered families (this email is sent from the Louisville Free Public Library).
  • Report of attendees to your venue during summer 2020 – total and by zip code.
  • Summer-end report of the success of the 2020 Cultural Pass for all stakeholders.
  • New, engaged visitors to your venue.
  • Potential for new members.
  • Potential for Gift Shop sales.
